A pledge is an amount a contributor promises to give to a particular fund. Pledges are recorded in ACS based on amount and frequency, and they can have various frequencies. Some pledges may be made on a weekly basis, while others may be based on a quarterly or annual basis.

You can add a pledge for a contributor at any time, and a contributor may have multiple pledges for multiple frequencies. For example, a contributor may have a pledge to the General Fund for a year, and a 3 year pledge to the Building Fund. You can also add a pledge on the fly when entering contributions, which is helpful if you receive a gift toward a pledge before a pledge campaign officially begins. 

To add a pledge, you must have security rights to Add/Edit Pledges.

 To add a pledge
  1. Under Manage Records, click the Contributions tab.
  2. In the drop-down list, select Add/Edit Pledges and click Go .
  3. To find your contributor, click Find Person or Find Org.
  4. Select the contributor's name, then click OK. Once selected, the contributor's current pledges and pledge history display.
  5. Click Add.
  6. Select the pledge's Fund, Start Date, Stop Date, and Frequency.
  7. Enter the pledge's Amount per period and Additional Amount. ACS calculates the pledge's Total, but you can edit this field if you need to.

    Tip

    To show that a person has responded to the pledge campaign, you can enter an amount of $0.00 with the frequency As Can.

  8. OPTIONAL: To add additional pledges for this individual, select Add Another.
  9. Click OK.
Additional Field Information


Entry Date
Indicates the date a pledge is entered (this is helpful if the pledge came in late), or the date the pledge is received.

Fund
Click Lookup to select the fund the pledge is for.

Start Date and Stop Date
In the drop-down lists, select the pledge's date range. The pledge can span multiple years or before in the middle of a year. If you do not want to apply prior gifts to pledges that begin in the middle of the year, select Only Apply Gifts from Start Date on the Configuration tab in Contributions Setup

Frequency
Select the pledge's frequency. These pledge frequencies reflect a calendar year.

  • As Can — Due by Dec. 1 of the current year.
  • Bi-Weekly — Due every other Sunday, starting with the 2nd Sunday after the Start Date.
  • Monthly — Due on Jan. 1, Feb. 1, Mar. 1, and so forth.
  • One Time — Due on the Start Date of the pledge (or immediately).
  • Quarterly — Due on Mar. 1, June 1, Sept. 1 and Dec. 1.
  • Semi-Annual — Due on June 1 and Dec. 1.
  • Semi-Monthly — Due twice a month, on the 1st and 15th.
  • Weekly — Due on the Sunday of each week, beginning on the first Sunday of the Year.
  • Yearly — Due on Dec. 1.


Amount
Enter the amount to be paid each period. For example, if the pledge is a one year pledge of $520.00 with a weekly frequency, enter $10.00.

Additional Amount
Enter the pledge's additional amount, if applicable. For example, a contributor pledges $25 per week to the Budget Fund for one year ($1300). In addition, the contributor begins their pledge with an additional gift of $150. This brings the total pledge amount to $1450. Entering an additional amount increases the total amount of the pledge. It does not decrease the pledge balance. You will need to enter and post the gift to record the contribution and decrease the pledge balance.

Total
This field displays the total pledge amount, including any initial payments.

Giving Plan
If the pledge is a part of a giving plan, select it here. You must have giving plans enabled in Contributions Setup.

Auto Post Arrears
Select to apply gifts to this pledge if the pledge is not paid in full by the stop date. You must have arrears pledges activated in Setup.

Forgiven
Select if the pledge has been forgiven.

Status
Displays the pledge's status. When adding a pledge, the pledge's status is Unpaid. Other statuses include Paid, Arrears, and Forgiven.

Add Another
Select to continue adding pledges for the selected individual.
