In Contributions, you can select batches of Access ACS transactions and import these transactions into ACS People Suite. After importing, you can easily post these transactions just as you post checks and cash donations.
Under Manage Records, click the Contributions tab.
Select Enter/Post Contributions from the drop-down list and click Go .
Click Import Transactions, then Access ACS Import.
When the Access ACS Import window displays, select the transactions you want to import in the Select Transaction Date/Type drop-down list.
In the Select Open Batch drop-down list, select the batch you want to import the deposits into. To create a new batch, click Start New Batch.
Under Not Selected for Import, transactions not selected for import display.
To find out why a transaction was not selected for import, place your cursor over the red flag .
To match and import a transaction, select the transaction and click Match Record to Individual or Match Record to Organization. Then, locate the contributor in the Find Person window and click OK.
Under Selected for Import, the transactions to be imported display. If you don't want to import a transaction, select the transaction and click Deselect Record. You can import these transactions at a later date.
To import the transactions, click Import.
After the transactions import, click Close. The batch totals reflect the imported transactions.
Additional Field Information
Select Transaction Date/Type In the drop-down list, select the transactions you want to import from Access ACS.
Select Open Batch Select the batch into which you want to import the transactions. If you didn't already set up a batch in ACS, click Start New Batch.
Batch ID Displays a unique ID assigned to a group of gifts contributed at around the same time and in the same manner (Credit Card or ACH). This column displays only for SAGE clients.
Tran ID Displays a unique ID for each transaction.
Name Displays the contributor's informal label name. To display the contributor's address, place your cursor over the name.
Date Given Displays the date and time that the contributor gave in Access ACS.
Fund Displays the fund that the contributor selected when giving. If the contributor selected multiple funds, place your cursor over the word Multiple to see which funds are selected.
Gift Description Displays the gift description, if one was entered.
Gift Type Displays the gift type. If the contribution is an ACH bank draft, ACH displays in this field. If the contribution is a credit card transaction, the credit card name (Visa, MasterCard, etc.) displays.
Last Four Displays the last four digits of the contributor's credit card or bank account number.
Amount Displays the amount of the contribution. The total amount for all contributions selected for import displays below this field.
Select for Importing Click to select contributions to import into ACS.
Match Record to Individual Click to match a transaction not selected for import to a record in ACS People. You can also create a new record in ACS People for new contributors.
Match Record to Organization Click to match a transaction not selected for import to a record in Organizations. You can also create a new record in Organizations for new contributors. This option displays only if you own the Organizations module.
Deselect Record Click to deselect a record. Deselected records do not import into Contributions, but you can import them at a later date.
Unmatch Record Click to unmatch a matched record. When unmatched, the transaction displays under *Not Selected for Import*, and you can match it to a record in ACS People or Organizations.
Reassign Record to Individual Click to display the Find Person window, where you can reassign the transaction to another individual's record.
Reassign Record to Organization Click to display the Find Organization window, where you can reassign the transaction to another organization's record. This option displays only if you own the Organizations module.
Import Click to import the selected transactions into ACS Contributions.
