A transaction source is the journal origin of a transaction entered into the general ledger. The source is a shortened form of the transaction term and represents the transaction type of entry. 

You cannot add any new source types, but you can add Sources if necessary. For example, the source CHK represents a check transaction while DEP generally represents a deposit transaction.

Eight source types are set up in the General Ledger, including:

  • Adjustment — A journal entry or correcting entry.
  • Check — A transaction based upon a check.
  • Deposit — A transfer of funds from the originator into the bank account.
  • Check Debit — An electronic deposit of funds to a checking account.
  • Check Credit — An electronic withdrawal of funds from a checking account.
  • Bank Interest — Interest added to an account by the bank of origination.
  • Bank Charge — A service charge imposed by the bank for various transactions, such as insufficient funds.
  • Bank Transfer — A transfer of funds from one bank account to another.
 To add a source
  1. Under Advanced Tools, click the Define Lists tab.
  2. In the drop-down list, select General Ledger and click Go .
  3. Select Sources and click Add.
  4. Enter the Source Code, Source Description, Source Type, and Next Ref. No..
  5. To add another source, select Add Another.
  6. Click OK.
 To update a source
  1. Under Advanced Tools, click the Define Lists tab.
  2. In the drop-down list, select General Ledger and click Go .
  3. Select Sources.
  4. Select the source you want to change, then click Edit.
  5. Update the Description and Next Ref. No. as necessary. If no transactions are posted to the source, you can change the source type, but you cannot change the source's code.
  6. Click OK.
 To delete a source
  1. Under Advanced Tools, click the Define Lists tab.
  2. In the drop-down list, select General Ledger and click Go .
  3. Select Sources.
  4. Select the source you want to delete, then click Delete. You can delete a source that has never been used. However, you cannot delete the journal entry (JRE) source. ACS uses this source for closing entries at year-end.
  5. When the confirmation message displays, click Yes.
 To print a source list
  1. Under Advanced Tools, click the Define Lists tab.
  2. In the drop-down list, select General Ledger and click Go .
  3. Select Sources, then click Print.
  4. To display items marked as not active, select Include Inactive Lists?.
  5. Click Preview to display the report before printing, or click Print.
