Teams

While you can always assign a Contact to an individual, you can also assign them to a Contact Team. Contact Teams are groups of people who are responsible for certain tasks. For example, you can have a Prayer Team who is responsible for handling prayer requests.

 To add a Team
  1. Under Advanced Tools, click the Define Lists tab. 
  2. In the drop-down list, select Connections, then click Go .
  3. Select Teams, then click Add.
  4. Enter the name of the team, then click OK.
  5. Select the team on the left pane, then click Assign Team Members.
  6. On the left pane, double-click the names of the people you want to add to the team, or select a name, then click Add .
  7. Click Close.
 To edit a Team
  1. Under Advanced Tools, click the Define Lists tab. 
  2. In the drop-down list, select Connections, then click Go .
  3. If you want to edit a team name, select Teams, then select the team on the right pane.
  4. Click Edit.
  5. Make the necessary changes, then click OK.
  6. To edit the team members, expand Teams, then click the appropriate team.
  7. Click Assign Team members. 
  8. If you want to add team members: On the left pane, double-click the names of the team members you want to add, or select a name and click Add .
  9. If you want to remove team members: On the right pane, double-click the names of the team members you want to remove, or select a name and click Remove
  10. Click Close.

Templates

When entering an Outward Contact, you can assign a template. Templates list several Outward Contact connections that need to be done within a certain amount of days for a specific situation.

For example, you could have a Newcomer template that contains the following connections:

  • LTR Welcome (1 Day): Send a welcome letter one day after the newcomer visited the church.
  • Cookie Delivery (3 Days): Send a batch of cookies to the newcomer's home after three days.
  • CALL Newcomer (5 Days): In a week, call the newcomer to follow up and welcome them to the church.
 To add a Template
  1. Under Advanced Tools, click the Define Lists tab. 
  2. In the drop-down list, select Connections, then click Go .
  3. Select Templates, then click Add.
  4. Enter a name for the template in the Field Description field. 
  5. Click OK.
  6. Select the name of the template, then click Add.
  7. Select the first Type. This will be the first action that needs to be taken. 
  8. Enter or select an Interval. This represents the number of days during which the action needs to take place. 
  9. Optional: Select the next field. This may be Age Group or another field depending on what description you have set up in Define Lists.
  10. Optional: Enter a comment. This can be any pertinent information about this item. For example, if the action is Welcome Letter, you may want to note that it can be sent via mail or e-mail.
  11. Select Add Another to continue adding items to the template. Click OK.
 To edit a Template
  1. Under Advanced Tools, click the Define Lists tab. 
  2. In the drop-down list, select Connections, then click Go .
  3. Expand Templates.
  4. If you want to change the name of the template, click Templates, then click the name of the template in the right pane.
  5. Click Edit. Make the necessary changes, then click OK.
  6. To edit items within the template, select the template name in the left pane.
  7. In the right pane, the template items display. Select the item you want to change, then click Edit.
  8. Make the necessary changes, then click OK.

After creating the connections, you can assign individuals or teams to each connection.
