Only staff members with the proper clearance can access the Safeguard tab, request background checks, review background checks, or view comments associated with background checks. You can edit security levels in Add/Edit Users.

To Edit a Staff Member's Safeguard Access:

  1. Under Advanced Tools, click the Admin Utilities tab.
  2. In the drop-down list, select Add/Edit Users and click Go.
  3. Select the user whose security you want to change and click Edit.
  4. Click the Security tab and expand People.
  5. Right-click the option you want to change and select the appropriate access (All, View, or None).
  6. When you are finished editing the user's security, click OK.
Additional Field Information

The following options in People security apply to the Safeguard tab:

Safeguard Tasks
If you select View, you allow a staff member access to view Safeguard tasks entered by other members. They cannot add, edit, or delete tasks. Staff members whose access is set to None will not see the Safeguard tab at all, while staff members whose access is set to All will see the tab and have the ability to add, edit, or delete any Safeguard tasks.

Safeguard Comments
If you use the Comments field in Safeguard Tasks to store sensitive information, you may want to restrict a staff member's access to this information by selecting None. Staff members whose Safeguard Tasks access is set to All or View but whose Safeguard Comments access is set to None will see all information on the Safeguard Tasks grid except for the comments.

Background Checks
If you store sensitive comment information in SecureSearch, or do not want for a staff member to request or review background checks in SecureSearch, you can select None to restrict a staff member's access to this feature. If All is selected, the staff member may request and review background checks in SecureSearch.

Safeguard Tasks Mass Create and Update
If All is selected, the staff member will be prompted to create corresponding Safeguard tasks when a background check is requested from search results, and they can also mass update Safeguard tasks through the search results. If None is selected, the staff member cannot create corresponding Safeguard tasks when requesting background checks in mass and they cannot mass change Safeguard tasks through search results.
