When you view parish data that has been uploaded to the secure web service at year-end, you can accept or reject any updates or deletions. The changes you make are then sent back to each parish.

 

Back up your data.

  1. On the File menu, click Backup/Restore.
  2. Click Backup Data.
  3. Enter a reason for the backup, such as "Backup before synchronizing data".
  4. Select a backup method, and enter any information.
  5. Click Start Backup.
  6. After your data is backed up, you can print the backup information for your reference.

 

Set up your program for synchronization.

If you haven't already done so, set up your information and options for data synchronization.

Then, you're ready to sync your data.

 

Sync family and member data between your diocese and parishes.

  1. On the Parishes & Facilities tab, click Data Transfer.
  2. Click Family/Member - Synchronize Diocesan Data with Parish's Data.
  3. When the list displays, click Show Only Parishes that have Changed.
  4. By default, all records that have changed are selected. To exclude any of these from the sync, clear the check box. Click Next.
  5. Review the changes. For each item, select an Action to be Taken. Click the Details tab to see more about each parish's changes.

    • Changes made in another PDS program display in red. Click the arrow column to change whether the diocesan data or the parish data is synchronized.
      The New/Old column reflects if the change is new (included in the current data sync) or old (included in a previous sync).
    • You can edit the current diocesan data. Changes you make here are automatically saved.
    • You can edit data from the parish. Changes are saved and sent back after syncing.

    Useful Information

    If you've never synchronized parish data before, this window does not display.

  6. After you select actions for all changes, click Next.
  7. To sync the information, click Start Update.
  8. Click Finish.

 

Sync financial data between your diocese and parishes.

  1. On the Parishes & Facilities tab, click Data Transfer.
  2. Click Financial - Synchronize Diocesan Data with Parish's Financial Data.
  3. After the list compiles, click Show Only Parishes that have Changed.
  4. By default, records that have financial changes are selected. To exclude any of these from the sync, clear the check box.

    Useful Information

    If there are no changes in financial data, this window does not display.

  5. When you're ready, click Next.
  6. Review the list of financial information. Review the data to sync, then click Next.
  7. To sync the information, click Start Update.
  8. Click Finish.
