After setting up catechists' online login credentials, you can upload catechist and class information to the web app.

   

If you just started using the app or this is the first time you're uploading, follow the steps in the procedure below.

  

 To start a new year on the web app
  1. On the File menu, click Data Synchronization > Upload Catechists and Class Information.
  2. Select the first option, and click Next.
  3. Read the information on how the process works, then click Next.
  4. Select the class or session year/period you want to upload to the app.
  5. Select Start the Year. This will delete all existing data on the server, so you should only select this if you're starting a new year or uploading for the first time. Click OK.

  6. If you want to allow someone other than catechists to mark attendance, select Upload Attendance Admin Account to the App, and click Set Up. Enter a user name and password, and click Save then Close.

    Useful Information

    Don't forget to send this person the login credentials and app link like you did when you set up your catechists.

  7. Click Next.
  8. In the grids, all catechists, classes for the year/period, and attendance reasons (from your keywords list) are selected. Clear any of these you do not want to include as options in the app. Click Next.

    Tip

    Pay attention to which class(es) each catechist is marked for. If a catechist is selected for a class, they can mark and change attendance for that class in the app.

  9. Enter an email address for the person to notify after a catechist makes changes online. Typically, this is the person at your church who processes attendance.
  10. Select the options if you want to print the uploaded information.
  11. When you're ready to upload the information to the web app, click Upload then click Yes to continue.
  12. Once the information is uploaded, select whether to print it.

  

If you want to synchronize all the data between the program and the app, follow the steps in the procedure below.

  

 To synchronize all data between Formation Office and the app
  1. On the File menu, click Data Synchronization > Upload Catechists and Class Information.
  2. Select the first option, and click Next.
  3. Read the information on how the process works, then click Next.
  4. Select the class or session year/period you want to use in the app.
  5. Select Synchronize attendance data between Formation Office and the app.
  6. If you want to allow someone other than catechists to mark attendance, select Upload Attendance Admin Account to the App, and click Set Up. Enter a user name and password, and click Save then Close.

    Useful Information

    Don't forget to send this person the login credentials and app link like you did when you set up your catechists.

  7. Click Next.

  9. When you're ready to upload the information to the web app, click Upload.
  10. Once the information is uploaded, select whether to print it.

   

If you've updated catechist credentials or class information since the last upload, follow the steps in the procedure below.

  

 To upload catechist and class information
  1. On the File menu, click Data Synchronization > Upload Catechists and Class Information.
  2. Select the first option, and click Next.
  3. Read the information on how the process works, then click Next.
  4. Select the class or session year/period you want to use in the app.
  5. Select Upload Changes, then select the information to upload. You may want to upload only the data that changed. For example, if you added a new catechist and didn't make changes to classes or attendance reasons, just select to upload catechists. Click Next.

    Note

    Only select Start the Year if you're starting a new year or uploading for the first time.

  6. If you want to allow someone other than catechists to mark attendance, select Upload Attendance Admin Account to the App, and click Set Up. Enter a user name and password, and click Save then Close.

    Useful Information

  7. In the grids, the information you want to upload is selected. Clear any of these you do not want to include as options in the app. Click Next.

If you want to synchronize the changes that catechists made online, follow the steps in the procedure below.

  

 To synchronize changes from the web app

Note

Only do this if you've previously uploaded data to the app. If you haven't uploaded catechist login credentials or class information, see the procedure above.

  1. On the File menu, click Data Synchronization > Upload Catechists and Class Information.
  2. Select the second option, and click Next.
  3. If there are new changes, a message displays in red at the top.
    • If there is new student attendance, accept or reject each change in the grid.
    • If catechists added new attendance reasons online, accept or reject each reason in the grid.
  4. When you're ready to synchronize the online changes in PDS, click Sync.
  5. Once the information is synced, click Yes to upload additional data or click No if you're finished.

   

After you set up credentials and upload data, catechists can go to cat.parish.mobi to mark class attendance. For help on using the app, see Student Attendance Web App.

Useful Information

Any time you make changes after uploading the data, you must upload the data again in order for the changes to display on the web app.

For example, let's say you've uploaded catechist data, then catechist John calls to change his password. You must change the password in the Online Information Setup, then upload the data again in order for John's new password to be applied.
