Check in/out billing is included in HeadMaster so your school or daycare center can offer childcare billing based on attendance. Billing can be calculated for minutes, hours, days, or weeks of attendance.

The basis of check in/out billing is the “billing plan.” Billing plans define the rate, time, and frequency at which students will be billed.

 To create a check in/out billing plan
  1. On the Home screen, click Options.
  2. Click Check In/Out.
  3. On the Check In/Out Billing tab, click Add.
  4. Enter a name for the billing plan, such as “Weekday School Care Plan”.
  5. Click Add. The Add/Edit Billing Plan window displays.
  6. Enter the billing plan information, and click OK.

    Useful Information

    You can create additional time frames for this billing plan. For example, you charge another rate after 6:00 pm for parents who pick up their children late. 

  7. Click OK.
 To edit or delete a check in/out billing plan
  1. On the Home screen, click Options.
  2. Click Check In/Out
  3. On the Check In/Out Billing tab, select a billing plan.
  4. Click Edit to add, change, or delete time frames. Click Delete to remove the entire billing plan.
  5. Click OK.
 To assign a check in/out billing plan
  1. On the Home screen, click Options.
  2. Click Check In/Out.
  3. On the Check In/Out Billing tab, select a billing plan.
  4. Click Assign.
  5. Select one or more students, and select a billing plan from the drop-down list.
  6. Click Select Plan. The billing plan appears in the list next to the student(s). If you want to disassociate a plan from a student, select the student and click Clear Plan.
  7. Click OK.
Additional Field Information

Description
A description for the time frame. For example, "After School Hours."

Rate
A billing rate and increment. For example, “$5.00 Per 1 Hour(s)."

Grace Period
The amount of time you will allow before billing starts. For example, if a child checks in at 3:30 and the parent checked the child out at 4:35, a five-minute grace period means the parent is only charged for one hour, not the additional five minutes.

Billing Code
The billing code can be used later when creating reports to sort and analyze whatever records the code is attached to. If a billing code is not selected, then the charges are placed in a miscellaneous revenue center.
