1099s are required whenever a vendor is paid $600 or more a year in nonemployee compensation or $10 in royalties. For example, your church's lawn care worker could fall under this category since he is paid by the church but isn't considered an employee of the church. He and the IRS will both need to receive a 1099 by January 31. This form will show what type of income your lawn care worker has received outside of the salary his employer pays him.

 

Before you print your 1099s...

Make sure Tax IDs are assigned to your 1099 vendors. Edit the vendors that are missing a Tax ID, and enter it in the Tax ID field.

Accounting Role

A staff member must have access to prepare 1099s. See Assign Roles to Accounting Users for more information.


The steps below are meant to be followed in sequence. If at anytime you need to step away, click Accounting > Period End > Prepare 1099s to resume.

 Review your Company Details

 

 To edit your company and contact information
  1. Sign in as an administrator or staff member with the appropriate permissions.
  2. Click Accounting > Period End > Prepare 1099s.
  3. Click next to the details you want to edit, and select Edit.
  4. Complete all required fields, and review them for accuracy.
  5. Click Apply.
  6. Once everything is correct, click Continue to Step 2.

 Review your 1099 Accounts

 

 To assign a 1099 account
  1. Click + Assign a 1099 account.
  2. Select the Core Account and the 1099 Box associated with that account.
  3. Review all Core Accounts carefully. If no changes are needed, click Continue to Step 3.
 To remove a 1099 account
  1. Click next to the 1099 account you want to remove and select Delete.
  2. If no other changes are needed, click Continue to Step 3.

 Review your Vendor Totals

 

 To assign a 1099 vendor
  1. Select your Reporting Year and if you want to include 1099 purchases less than $600 and royalties under $10.
  2. Click + Assign a 1099 vendor.
  3. Search the name of the vendor inside the field, and select the one you want to assign.
  4. The 1099 Box and Amount columns will populate automatically after a vendor is selected.
  5. Review all Vendors carefully. If no changes are needed, click Continue to Step 4.
 To make a 1099 adjustment
  1. Click next to the vendor whose 1099 you want to adjust and select Add Adjustment.
  2. Make any necessary adjustments, but keep fields the same if they don't need to change.
  3. Select whether or not you want to include the adjustment to the vendor's paid total.
  4. Click Save.
  5. If no other changes are needed, click Continue to Step 4.
 To remove a 1099 vendor
  1. Click next to the 1099 vendor you want to remove and select Delete.
  2. If no other changes are needed, click Continue to Step 4.
 To print a Vendor 1099 Totals list
  1. Click . A preview of your vendor totals list displays.
  2. Click the printer icon for a physical copy, or click Download for a PDF.
  3. If all of your tasks are completed on this page, click Continue to Step 4.

To avoid wasting form paper, follow these instructions closely.

 To print a sample and adjust field alignment on your 1099 in inches
  1. Place a blank sheet of copy paper into your printer's tray.
  2. Click Print Sample, and select 1099.
  3. Place a blank 1099 tax form behind the sample you printed, and hold them up to a light source.
  4. If adjustments are needed, click Adjust Alignment.
  5. Make adjustments (in inches) using the vertical and horizontal arrows, then, using another blank sheet of copy paper, click Save & Print 1099.
  6. Repeat steps 1-5 until everything is aligned correctly, then click Save.
 To print a sample and adjust field alignment on your 1096 in inches
  1. Place a blank sheet of copy paper into your printer's tray.
  2. Click Print Sample, and select 1096.
  3. Place a blank 1096 tax form behind the sample you printed, and hold them up to a light source.
  4. If adjustments are needed, click Adjust Alignment.
  5. Make adjustments (in inches) using the vertical and horizontal arrows, then, using another blank sheet of copy paper, click Save & Print 1096.
  6. Repeat steps 1-5 until everything is aligned correctly, then click Save.
 To print your 1099s
  1. Once all boxes are properly aligned, place your 1099 tax forms into your printer's tray.
  2. Click Print 1099s.
  3. A preview of your 1099s displays.
  4. Click the printer icon for a physical copy. If you want a PDF copy, click Download.

Uncle Sam says...

You're required to print two copies of your 1099s: one for your vendors and the other for the IRS. You'll only need to print one 1096 to accompany the IRS copy of your 1099s.

 To print a 1096
  1. Once all boxes are properly aligned, place a 1096 tax form into your printer's tray.
  2. Click Print 1096.
  3. A preview of your 1096 displays.
  4. Click the printer icon for a physical copy. If you want a PDF copy, click Download.
